Terms of service.
The agreement between you and GrandPrixHQ. We've tried to keep it readable.
At a glance
The short version. GrandPrixHQ is a website and service that helps packs and similar groups run pinewood derby races. You agree to use it for that purpose, you keep your account secure, you only register kids you have authority over, and you don’t try to break the platform. We agree to operate the service in good faith, treat your data carefully (see our Privacy Policy), and tell you when things change.
If you are using GrandPrixHQ on behalf of an organization (a pack, school, club), you represent that you have authority to bind that organization to these terms.
Agreement to these terms
These terms (“Terms”) form a binding agreement between you and Grand Prix HQ LLC (“GrandPrixHQ,” “we,” “us”), the operator of grandprixhq.com and the related services we provide (collectively, the “Service”). By signing in, creating an account, registering a racer, or using any part of the Service, you agree to these Terms and to our Privacy Policy. If you don’t agree, don’t use the Service.
Mailing address: Grand Prix HQ LLC, PO Box 702116, San Antonio, TX 78270.
Who can use it
- You must be at least 18. Account holders must be adults. Children are not parties to these Terms. A parent or guardian holds the account and registers the child as a racer.
- Authority to register a child. When you create a Racer, you represent that you are the parent or legal guardian of that child or have specific written authorization from a parent or guardian to do so. Pack admins entering walk-in data on behalf of families present at an event act in a limited authorized capacity; the parent confirms the registration on first sign-in.
- Pack and organizational use. If you use the Service as a pack admin, helper, district admin, or other organizational role, you represent that you have authority from your organization to do so and to accept these Terms on its behalf.
- Geographic scope. The Service is offered from the United States. You are responsible for compliance with any local laws that apply to your use.
Your account
- Magic-link sign-in. We don’t use passwords. Each time you sign in, we email a single-use, short-lived link to the address on file. Keep that email account secure — anyone with access to it can sign in as you.
- One person per account. Accounts are tied to a single human. Don’t share your login or transfer your account. Pack admins can invite helpers and co-admins through the in-product invite flow rather than handing over a login.
- Accurate information. Use a real name and a real, monitored email. We can suspend accounts that appear to be fake, automated, or shared.
- Security incidents. If you suspect your account or email has been compromised, contact us immediately at [email protected].
What the Service does
The Service helps you register racers, schedule heats, run a race, and publish results. Race timing can be operator-entered, browser-read via Web Serial from a connected commercial timer, or — in the future — streamed from optional GrandPrixHQ Link hardware that plugs into your existing timer. We will describe new features as we add them, and we may add, change, or remove features over time.
Race timing accuracy. GrandPrixHQ records and displays times as received from the chosen input source (operator entry, connected timer, or Link hardware). We do not guarantee that those times reflect any particular physical performance, and we are not responsible for the accuracy or calibration of timer hardware we do not manufacture. Your pack’s race rules and ranking decisions remain your own.
Acceptable use
You agree not to:
- Use the Service to harass, threaten, or harm another person, especially a child.
- Upload content that is illegal, defamatory, obscene, or that infringes another person’s rights.
- Upload a photograph of a child. The Service is designed to display photos of cars, not children. Car photos must keep the child out of frame; the capture flow enforces this via a silhouette overlay and orientation check.
- Register a child you don’t have authority to register, or impersonate another parent, racer, or admin.
- Attempt to gain unauthorized access to the Service, other accounts, or another pack’s data. Probing access-control boundaries (other than as part of a security disclosure to us — see below) is not allowed.
- Scrape, crawl, or systematically collect data from the Service except for the normal use of publicly available event pages by a human visitor.
- Use the Service to send unsolicited marketing email or run a sweepstakes, promotion, or commercial offer not authorized by us.
- Reverse engineer the Service except to the extent applicable law expressly permits.
- Interfere with race-day operations of another pack — for example, by generating fake registrations or saturating event pages with traffic.
Security disclosures. If you discover a vulnerability, please tell us at [email protected] and give us a reasonable opportunity to fix it before sharing publicly. We appreciate good-faith reports and will not pursue legal action for testing consistent with this paragraph.
Pack admin responsibilities
If you are a pack admin (or a district admin, or a helper with the relevant role), you are acting as a steward of personal information about other families in your pack. You agree to:
- Use roster, contact, and racer information only for legitimate pack-administration purposes. Don’t export it for personal marketing, commercial side-projects, or non-pack purposes.
- Honor a parent’s request to correct or remove their child’s information promptly, and escalate to us if you need help.
- Send pack-announcement email through the in-product flow (which manages unsubscribe), not by copying parent email addresses into outside tools.
- Maintain a current admin roster for your pack. The Service prevents removal of the last admin to avoid lockout — coordinate handoffs in advance.
- Follow your scouting organization’s, school’s, or league’s policies on data handling and child safety. GrandPrixHQ is a tool; the policies you operate under are yours to follow.
Your content
“Your Content” means anything you submit to the Service — racer names, car names, car photos, event rules text, descriptions, and other user-supplied data. You keep ownership of Your Content. You grant us a limited, worldwide, non-exclusive, royalty-free license to host, store, reproduce, modify (for display purposes such as resizing or cropping), and display Your Content solely as needed to operate the Service and to surface it on the public event, results, replay, and live race pages associated with your pack.
The license is scoped to the operational use described above. We do not have rights to use Your Content for marketing, advertising, AI / machine- learning training, resale, or any other purpose without your separate consent. The license ends when you remove the content from the Service or close your account, with one carve-out: cached and archived copies on public race pages remain visible in their existing form until those pages are deleted or the racer is anonymized, consistent with how we describe public race pages in the Privacy Policy.
You are responsible for Your Content. You represent that you have the right to submit it and that doing so doesn’t violate anyone else’s rights or these Terms.
We are a platform, not a publisher. GrandPrixHQ stores and displays Your Content and other users’ content as submitted. We do not endorse, verify, screen, monitor, or fact-check user-submitted content before it appears on the Service, and we are not responsible for it. Any opinions, statements, photos, names, results, or other material posted by a parent, pack admin, helper, or other user are those of the user who posted them — not of GrandPrixHQ.
Consistent with Section 230 of the U.S. Communications Decency Act (47 U.S.C. § 230) and similar laws elsewhere, we are not the publisher or speaker of information provided by other users, and we are not liable for it. You use, view, and interact with user-submitted content at your own risk. If you believe content on the Service violates these Terms — for example, harassment, infringement, inaccurate roster data, or inappropriate imagery — report it to [email protected] (or, for copyright specifically, follow the DMCA procedure below) and we will review it.
Reservation of rights. We reserve the right (but have no obligation) to review, remove, or restrict access to any content that we believe violates these Terms, applicable law, or the rights of another person, or that poses a safety or security risk to the Service or its users — particularly the children whose data is at the center of the product. Removal decisions are made in our reasonable discretion and do not waive any other right or remedy.
Intellectual property
The Service — including its software, design, layouts, brand marks (“GrandPrixHQ,” the GrandPrixHQ logo, and related marks), and content we author — is owned by Grand Prix HQ LLC or its licensors and is protected by intellectual-property laws. We grant you a personal, non-transferable, revocable license to access and use the Service in accordance with these Terms. You don’t get any other rights.
Feedback. If you send us suggestions about how to improve the Service, we may use them without obligation to you. You are not required to send feedback; if you do, you grant us a perpetual, royalty-free license to use it.
Copyright and DMCA
We respect copyright. If you believe content on the Service infringes a copyright you hold, send a notice that includes:
- Identification of the copyrighted work claimed to be infringed.
- Identification of the material that is claimed to be infringing, with enough detail (URL, page, screenshot) for us to locate it.
- Your name, address, telephone number, and email.
- A statement that you have a good-faith belief that use of the material is not authorized by the copyright owner, its agent, or the law.
- A statement, under penalty of perjury, that the information in the notice is accurate and that you are the copyright owner or authorized to act on the owner’s behalf.
- Your physical or electronic signature.
Send notices to our designated agent at the address below. We respond to valid notices by removing or disabling access to the material and notifying the user who posted it. Repeat infringers’ accounts will be terminated.

Payments and refunds
GrandPrixHQ offers a Free plan that covers the core race-running flow and a Pro plan that unlocks the broader feature set. Pricing for each plan is shown on the pricing page and at the point of purchase.
- Pricing. Fees are billed by Stripe in U.S. dollars unless we say otherwise. We may change pricing for future billing periods on reasonable notice; your current term is not affected mid-cycle.
- Subscriptions renew automatically at the end of each term until cancelled. You can cancel at any time from your pack’s billing settings (which opens the Stripe Customer Portal); cancellation stops future renewals but does not refund the current term unless required by law. After cancellation your pack reverts to the Free plan at the end of the paid term.
- Refunds. All fees are non-refundable except where required by law or where we, in our discretion, decide otherwise — for example, when a feature outage materially prevented a pack from using the Service for an event. Email [email protected] to discuss a refund.
- Failed payments. If a renewal payment fails, Stripe will retry on its standard dunning schedule. If the subscription cannot be successfully renewed, your pack’s plan reverts to Free and Pro-only features become unavailable until you update your payment method and resubscribe.
- Taxes. Prices do not include taxes unless stated. You are responsible for any taxes that apply to your purchase.
- Payment processor. We use Stripe Checkout (hosted) and the Stripe Customer Portal for all payment, billing-detail, and subscription management. Card details never touch our servers. See our Privacy Policy for the categories of data Stripe receives and what we store on our side.
Affiliate links
Some links on the Service — particularly in blog articles and gear roundups — are affiliate links. When you click through and buy from a partner vendor, we may earn a commission. This does not change the price you pay. We disclose affiliate relationships in line with FTC guidance on or near the content where the link appears.
We curate partners based on whether their gear actually serves pack-derby use. We do not let affiliate commission decide editorial content.
Service availability and changes
We work hard to keep the Service available, especially on race days, but we do not commit to a specific uptime level outside of any written service-level agreement we sign with you. Planned maintenance and unplanned outages can happen. The Service and its features may change, and we may add, modify, or remove features over time. Where a change materially reduces the functionality you depend on, we’ll do our best to give you notice.
Suspension and termination
By you. You can stop using the Service and close your account at any time. Account closure is available from /me/settings, or by emailing us. Closing the account triggers deletion or anonymization of your personal information per our Privacy Policy.
By us. We may suspend or terminate your access if you violate these Terms, if your use poses a security risk to the Service or to other users, if we are required to do so by law, or if you are a repeat infringer for copyright purposes. Where possible we will give you advance notice and an opportunity to address the issue.
Effect of termination. The sections of these Terms that by their nature should survive (ownership, disclaimers, limitations of liability, indemnification, dispute resolution, miscellaneous) survive termination.
Disclaimers
EXCEPT WHERE PROHIBITED BY LAW, THE SERVICE IS PROVIDED “AS IS” AND “AS AVAILABLE” WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED, INCLUDING IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, NON-INFRINGEMENT, AND TITLE. WE DO NOT WARRANT THAT THE SERVICE WILL BE UNINTERRUPTED, ERROR-FREE, OR FREE OF HARMFUL COMPONENTS, OR THAT RACE TIMES DISPLAYED IN THE SERVICE WILL BE FREE OF ERROR. CONSUMER-PROTECTION LAW IN YOUR JURISDICTION MAY GIVE YOU RIGHTS WE CAN’T DISCLAIM; NOTHING HERE LIMITS THOSE RIGHTS.
Limitation of liability
EXCEPT WHERE PROHIBITED BY LAW, IN NO EVENT WILL GRAND PRIX HQ LLC OR ITS DIRECTORS, OFFICERS, EMPLOYEES, OR AGENTS BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR ANY LOSS OF PROFITS, DATA, OR GOODWILL, ARISING OUT OF OR RELATING TO YOUR USE OF THE SERVICE, WHETHER BASED IN CONTRACT, TORT, STATUTE, OR OTHERWISE, EVEN IF WE HAVE BEEN ADVISED OF THE POSSIBILITY OF SUCH DAMAGES. OUR TOTAL CUMULATIVE LIABILITY ARISING OUT OF OR RELATING TO THESE TERMS OR THE SERVICE WILL NOT EXCEED THE GREATER OF (A) THE AMOUNT YOU PAID GRAND PRIX HQ LLC IN THE TWELVE (12) MONTHS BEFORE THE EVENT GIVING RISE TO THE CLAIM OR (B) ONE HUNDRED U.S. DOLLARS ($100).
Carve-outs. The cap and exclusions above do not apply to: (i) our liability for violations of the Children’s Online Privacy Protection Act or other laws specifically protecting children’s data; (ii) our gross negligence or willful misconduct; (iii) our indemnification obligations to you, if any; or (iv) liability that cannot be limited under applicable law.
Indemnification
You agree to defend and indemnify Grand Prix HQ LLC from third-party claims arising out of (a) your breach of these Terms, (b) Your Content, (c) your misuse of the Service, or (d) your violation of any law or the rights of another person — except to the extent the claim is caused by our gross negligence or willful misconduct.
We will give you prompt written notice of any covered claim, reasonable cooperation (at your expense), and a right to control the defense. You will not settle a claim in a way that admits liability on our behalf or imposes obligations on us without our written consent.
Governing law and dispute resolution
These Terms are governed by the laws of the State of Texas, without regard to conflict-of-laws rules. Any dispute arising out of or relating to these Terms or the Service will be brought exclusively in the state or federal courts located in Bexar County, Texas, and both parties consent to personal jurisdiction there. Either party may bring qualifying claims in small claims court instead.
We have deliberately not required arbitration. If you have a problem, talk to us first — most issues are resolved by email at [email protected] without anyone going near a courtroom.
Changes to these Terms
We may update these Terms from time to time. When we make changes that materially affect your rights or obligations, we will update the “Last updated” date and notify account holders by email at least 30 days before the changes take effect, except for changes required by law (which may take effect sooner). Your continued use of the Service after the effective date means you accept the updated Terms. If you don’t accept them, stop using the Service and close your account before they take effect.
Miscellaneous
- Entire agreement. These Terms, together with our Privacy Policy and any plan-specific order or addendum you sign with us, are the entire agreement between you and Grand Prix HQ LLC regarding the Service.
- Severability. If any part of these Terms is held unenforceable, the rest stays in effect.
- No waiver. If we don’t enforce a right or provision once, that doesn’t waive our ability to enforce it later.
- Assignment. You can’t assign these Terms without our consent. We may assign them in connection with a merger, acquisition, or sale of assets.
- Headings. Section headings are for convenience and don’t affect the interpretation of these Terms.
- Notices. We give notice to you by email to the address on your account. You give notice to us at the email address below.
- Relationship. Nothing in these Terms creates a partnership, joint venture, employment, or agency relationship between you and Grand Prix HQ LLC.
